Understand the different roles of product drawings, material records, test reports and company certificates in a valve purchase.
Different documents answer different questions
A company certificate, a product drawing and a test report are not interchangeable. A useful document package connects the supplier, the quoted configuration and the supplied valves to the requirements in your order.
Prepare a document register with a description, required issue stage and approval responsibility for every item. This is more actionable than requesting “all certificates” without defining the scope.
Identify the applicable design references
A design standard establishes requirements within its stated scope. For example, ASME describes B16.34 as covering areas including pressure-temperature ratings, materials, testing and marking for the valve constructions addressed by that standard.
Ask for the applicable standard and edition to be identified in the technical offer. A standard number on a website does not establish the compliance of a particular offered configuration or prove that the supplier holds a certification.
Use drawings to confirm the offered configuration
Request a drawing that corresponds to the quoted size, end connections and operator. Review installation dimensions, operating clearance and orientation before approval.
A generic catalogue image is useful for identifying a product family, but it does not replace a configuration-specific drawing. Keep the approved revision associated with the purchase order.
Link material and test records to the supplied items
Define the material and traceability records that the project requires. Agree how supplied valves or batches will be identified so that the supporting records can be matched to them.
For testing, specify the applicable procedure or standard, acceptance criteria, witness requirements and required report format. Do not assume that a reference to “tested valves” includes every test your project needs.
Verify the scope of company certificates
When certification is required, check the exact legal entity, covered location, scope, issuing body and validity. A certificate covering a different site or activity may not satisfy the procurement requirement.
Use the issuer’s verification process where available. For API-related requirements, distinguish the technical standard from the relevant licensing or certification programme and request the appropriate evidence.
Agree on the handover package before purchase
List required documents in the enquiry and confirm them in the order. Identify which records must be accepted before manufacture, shipment or final payment.
